Reservation & Cancellation Policies

Please read carefully. By placing your credit card on file as a security/damage deposit and by continuing the rental of any of our properties you acknowledge acceptance of the following terms. 

Reservations: Reservations may be made by phone 706-865-4935 or email reservations@chimneyshadows.com. Simply contact us and we will email a rental agreement and ready the cabin for your visit. Reservations may be secured by credit card, money order, or personal check. We accept Visa, Master Card, Discover, and American Express. Personal checks  are not accepted  on day of arrival.  Reservations  secured by check or money order will only be held four business days from date of booking awaiting your deposit. There is a 4% transaction fee on all credit card transactions. No reservation is valid without a confirmation #. Your confirmation will be e-mailed upon receipt of your deposit/payment. A valid credit card must remain on file as a damage deposit. No reservation will be made without a valid card on file.

   Deposits: 50% of rental fee due at time of reservation. Remainder of balance is due on day of arrival. Full rental fee is due  if reservation is made within 14 days of arrival. No reservation is confirmed without deposit. No key will be released until reservation is paid in full.

Cancellations: There will be a $50 transaction fee for all cancellations.  A 14 day notice of cancellation is required to receive credit for any deposits less the $50 transaction fee.   If you cancel within 14 days and we rebook for the length of your stay your deposit less the $50 transaction fee will be refunded. Please note that any deposits made by personal check will be refunded  by check 30 days after cancellation. Credit card  and certified check deposits  will refunded within four days of cancellation. If your reservation is made within 14 days of arrival, full payment must be made at time of reservation. If you cancel after making reservation within 14 days of arrival you forfeit full payment unless we rebook your reservation. Please let us know as soon as possible about cancellations so that we may diligently try to rebook your reservation and return your deposit. No shows will be charged full rental price. No exceptions will be made to these policies.

There will be no refunds given due to bad weather or for unused days. Please do not ask for early departure refunds, we hold the dates for you, therefore, you are obligated to pay for them.

By placing your credit card on file as a security/damage deposit and by continuing the rental of any of our properties you acknowledge acceptance of the following terms. 

Damage Deposit: We do not process your card for a damage deposit but it is held on file in case there is damage to the property. We trust and expect our guests to take the same care of our properties as they would their own   However, if there is damage to the cabin or furnishings beyond normal wear, the damage will be assessed, you will be notified, and your credit card will be billed for the damages.  Please let us know if anything unforeseeable happens, so we may work together for an amicable solution.

Daily maid service is not provided, however, all of our properties have  washers and dryers if you find it necessary to launder towels or linens while here.  We try to provide enough towels so you will not have to launder but sometimes due to the number in your party, or the length of your stay, you may find it necessary. Laundry detergent is not provided.

We try very hard to have our cabin in the best of condition for your arrival…please give us the same consideration on your departure.

CHECK OUT is 10am. Please be advised that if housekeeping reports that you have not vacated the cabin by 10am, without prior approval, you will be charged an additional $25 per 30-minute increment or fraction thereof. 

Upon your departure please read and follow the Checkout instructions posted in the cabin. They go something like this but may vary according to each cabin: (HEAT/AC...please set thermostat to 80 degrees Auto/AC in the summer and 55 degrees Auto/HEAT in the winter.  HOT TUB...please set thermostat on Jacuzzi to the lowest possible setting and make sure jets are turned to low, the light is off and the cover is on properly covering the filter compartment. TOWELS/LINENS...please place all soiled sheets and towels in front of the washer and dryer area separating wet towels and cloths from sheets. Please leave quilts or comforters on bed do not place with sheets and towels. These items will be collected by cleaning staff to be commercially cleaned after each use. DISHES...please load the dishwasher and turn on before you leave, dishwashing detergent is provided. Be sure to open the plastic packaging of tablet before placing in dishwasher. You will be charged an additional $30 cleaning fee for unwashed dishes. TRASH...please remove all trash from indoors and place in the large trash container on the outside of the cabin. BE SURE TO TURN OFF ALL LIGHTS, LOCK BOTH DOORS and ALL WINDOWS WHEN YOU LEAVE.  )

FIREPLACE: . Due to high fuel cost the Gas to the logs is turned off May-September. Please do not attempt to cut on Gas during these months. Gas logs need to be professionally inspected prior to the first use each season and are not to be tampered with in anyway. Please read instructions posted in cabin before using Gas Logs during the months of Oct.-April.. We may not be available to re-light the pilot or troubleshoot problems, therefore, it is essential that you follow directions for gas log use.

Hot Tub: Directions for use are posted at all cabins. You are responsible for reading and following these instructions prior to use. We may not be available to troubleshoot any problems, therefore, it is essential that you follow directions carefully.

# of Guest: Be reminded that your rate is based on occupancy. Therefore, if you booked the cabin for two people you are paying  for double occupancy (a one-bedroom, one-bath cabin). All parties of two will be charged an additional $50 cleaning fee for use of both bedrooms and/or baths due to the extra cleaning cost involved. Please do not attempt to bring more guests than you made the reservation for in an attempt to save money. Your card will be charged the additional cleaning fee for use of the extra bedroom and/or bath if it is determined you had more guest than the reservation states.

No credit will be given for unused days. If there is a problem with the hot tub, fireplace or satellite reception we will do our best to correct the problem while you are here. However, no refunds will be given if the problem cannot be corrected during your stay. We apologize for any inconvenience but these things are often out of our control.

No Smoking/No Pets/No Exceptions

You will be charged a minimum of $125 for violations of the pet and smoking policy.  If there is evidence of smoking or evidence of a pet found in the cabin we reserve the right to cancel your stay without a refund and you will be charged a minimum of $125.00 cleaning/treatment fee. This policy is strictly enforced.
